How do I send a run sheet to my suppliers (caterer, DJ, photographer)?
In Suppliers, add each supplier with their arrival time and instructions, then copy their link: it’s their run sheet, with no account to create.
Suppliers
- Click Add a supplier: trade, name, phone, Arrival time, Instructions for them only.
- Tap Their moments: the ones on the timeline that concern them. Their link puts these first and flags them in the schedule.
- Under Who to call on site, give the first name and phone number of a witness or a relative: they’re the one called on the day, not you.
- Tap Send: WhatsApp opens on their chat, with the link in the message. Or Copy their link (and Copy the shared run sheet for the team’s WhatsApp group).
It needs at least the date and one moment on the timeline. The caterer and the venue also see the covers and dietary needs on their sheet; the others don’t.
Link a budget item to this supplier (Budget, Supplier:): their deposits and balance show on their link, with the day each was paid. A payment made? Let them know sends them their updated link on WhatsApp. No more receipts to forward.
