Getting started
- What is Weddtap Pro, and who is it for?Weddtap Pro is the workspace for wedding planners and agencies: all your weddings, your enquiries and signed quotes, the guest page given free to each couple and your suppliers’ run sheets, in one place.
- What does the Weddtap Pro free trial include?30 days with every feature, no credit card. During the trial, three pages can be live; when it ends, nothing is deleted.
- How do I create my Pro workspace and my agency? From the Weddtap Pro page, tap “Free trial”, answer three questions, then give an email address and a password: your workspace opens once you’ve confirmed your email.
- Where do I start in my Pro workspace?Follow the “Getting started” guide on Home: your agency details, a first wedding, inviting the couple and your templates. Ten minutes is enough.
- What’s the difference between Weddtap Pro and Weddtap for couples? It’s the same guest page and the same editor. Pro adds what a planner needs: several weddings, clients, quotes, run sheets. Your couples pay nothing.
- Can I have a couple account and a Pro workspace with the same email address?Yes. One account can hold a couple space and a Pro space: one email address, one password, and you switch between them from the account menu.
- How do I sign in to my Pro workspace? On the Pro sign-in page, enter your email and password, or use “Continue with Google” if that button is shown. Forgotten your password? A link lets you choose a new one.
- Can I import my existing weddings and clients? There’s no file import for now: you recreate your weddings in a few seconds and log your current clients. Only a wedding’s guest list can be pasted in one go from a spreadsheet.
- Which free tools does Weddtap Pro offer, without a subscription?Six tools open to everyone: fee calculator, proposal generator, supplier run sheet generator, wedding-day timeline, wedding-day checklist and first-meeting questions.
Your weddings
- How do I create a wedding in my Pro workspace? In Weddings, tap “New wedding”, enter at least one first name, the date and the guest page language, then “Create and open”. The wedding’s editor opens.
- How do I find my weddings and switch from one to another? The Weddings tab lays them out as a list (cards, or a table from six weddings) or as a calendar. Open a wedding with “Open the guide”, and come back with “All weddings”.
- What is “Today” on Home for?“Today” gathers what needs action across all your weddings, from most to least urgent, with one button per line: one tap, and the line disappears.
- How do I archive or delete a wedding?Archiving files a wedding under “Archived” without losing anything, and can be undone in one tap. Deleting is final: the page disappears from its public address.
- How do I reuse my schedule and FAQ on every wedding? Can I duplicate a wedding?Write your agency template once, in My agency › Agency template: it goes onto every new wedding. There’s no “duplicate a wedding” button, but “Copy from an existing wedding” copies a successful wedding into your template.
- How do I publish a wedding’s guest page?Open the wedding, then My guide › Share and “Publish your page”. Choose the address and share the link: your changes show up for guests straight away.
- Is the guest page free for my couples? What do their guests see?Yes. Each couple’s page is included in your subscription, complete and wedding day included. Their guests read “Organised by” followed by your agency and your link.
- How do I invite my couple to co-edit their page with a PRO-… code?On the wedding’s card, ⋯ then “Invite the couple”: you get a short link and a PRO-XXXXXX code, valid for 30 days. The couple joins the same page as you: each of you sees what the other changes.
- My couple already has a Weddtap page, or wants to take it back: what happens? There’s no function to attach an existing couple’s page to your agency. If the couple already has one, the code offers to replace it. Conversely, they can take their page back in their own name if your collaboration ends.
- How do I chase guests who haven’t replied? On the wedding’s card, ⋯ then “Remind non-responders”: a ready message is offered household by household, for you to send yourself by WhatsApp or text. Weddtap never writes to guests.
Enquiries and clients
- How do I receive enquiries from prospective couples on my website? In My clients › Enquiries, copy the link from “Your inquiry form” and put it on your website, your Instagram or your signature. Each enquiry arrives in your workspace and by email.
- How do I log a client who contacted me by phone, Instagram or at a wedding fair?In My clients › Enquiries, tap “Log an inquiry”: first names are enough. The enquiry joins the same tracking as those from the form.
- How do I track an enquiry from first contact to signature? Each enquiry has a stage: New, Contacted, Proposal sent, Signed or Lost. Replying, sending the quote and getting it signed move it forward by themselves; otherwise, change the stage by hand.
- How do I turn an enquiry into a wedding? On the enquiry’s card, tap “Create the wedding”: the creation form is pre-filled with the first names and the date, and the enquiry and its quote stay linked to the wedding.
- How do I send a questionnaire to a client and read their answers?Open “Client questionnaire” from the wedding’s ⋯ menu: twelve ready questions, in the couple’s language. Send the link, and the answers come back into the workspace. An Agency plan feature.
- How do I ask the couple a question, or suggest suppliers to them?“Questions for the couple”: one question, one to four options, one link. The couple answers in a tap, no account needed. From your address book, suggest your suppliers with their brochure and price. Agency plan.
Quotes and payments
- How do I create a quote for a client? In My clients › Proposals, “New proposal”, then choose the enquiry or the wedding. Write your services, the VAT, the payment schedule and the terms: everything saves by itself as a draft.
- How are my quotes numbered? Each new quote is given a number automatically, in the form 2026-004: the year, then the position within the year. The number doesn’t change afterwards and can’t be edited by hand.
- How do I send a quote to a client? In the quote, tap “Send to the couple”: choose the email Weddtap sends in your name, or “Get the link” to send yourself by WhatsApp, text or your email app.
- How does the client sign the quote, and what is that signature worth? The couple opens their link, reads the quote and signs it with their name, with no account. It’s a simple electronic signature: their name, email, date and time are recorded with the quote.
- VAT, legal details, invoices: what does Weddtap do on my quotes?Your quotes handle VAT (amounts before VAT, including VAT or “VAT not applicable”) and print your legal details at the top. Weddtap doesn’t issue invoices: invoicing stays with you.
- How do I set the deposit and balance on a quote? In the quote’s Payment schedule block, tap “Suggest 30% + balance 30 days before”, or add your own instalments. It’s a tracker: nothing is paid on Weddtap.
- How do I keep track of what I still have to collect? The Payments tab lists the instalments of signed quotes, flagging what’s overdue. Tick “Paid” once you’ve been paid, or “Remind” to prepare a reminder email.
- Can my clients pay their deposit directly through Weddtap or Stripe? No. No payment goes through Weddtap: you collect as you always do, and the payment schedule reminds you what’s left to receive. Stripe is only used to pay for your Weddtap Pro subscription.
- How do I track the deposits and balances I owe my suppliers? On the wedding’s card, ⋯ then “Payments”: add each instalment with its date. “Today” shows it to you a week ahead. It’s a tracker: nothing is paid on Weddtap.
Method, time and calendar
- How do I write my agency’s method (my planning checklist)? In Templates, the Planning checklist section lays out your steps in days before the wedding. Start from the standard method or write your own: it goes onto every new wedding and follows its date.
- How do I apply my method to a wedding already created, and how is it different from the couple’s countdown? On the wedding’s card, ⋯ then “Planning checklist” and “Apply my method”. This agency checklist is private; the one you share with the couple is a different one, in the editor.
- How do I log the time I spend on a wedding? On the wedding’s card, ⋯ then “Time spent”: a session is logged in two taps, a length and a kind. The total is shown, and so is how your time is split.
- How do I find out what a wedding earns me per hour?In “Time spent”, Weddtap divides the signed quote by the hours you’ve logged: that’s your real hourly rate for this wedding, compared with the rate you’re aiming for.
- How do I see my weddings in Google Calendar, Apple Calendar or Outlook? In Settings › Agency, “Your calendar” creates a private link to add to your calendar. It updates itself with your weddings, deadlines, payments due and remaining steps.
Suppliers and the wedding day
- How do I create my suppliers’ run sheet? On the wedding’s card, “Run sheet”: add each supplier with their trade, arrival time and instructions. The schedule and the address come from the wedding’s page.
- How do I send a supplier their link, and renew it if needed? In the run sheet, “Copy their link” gives one link per supplier, and “Copy the shared link” one link for the whole team. Links stay the same: whatever you change shows on them within a minute.
- What does my supplier see on their link? Do they need an account? No account or app: they open the link on their phone. They see their arrival time, their moments, their instructions, the schedule, the venue, who arrives when, their payments and your number. The caterer also reads their numbers.
- How do I use wedding-day mode, and see who has arrived? On the wedding’s card, ⋯ then “Wedding-day mode”: you see who’s arrived, who’s running late, the schedule in progress, and you shift what follows in one tap. The screen refreshes every 30 seconds.
- The schedule is running late: how do I shift the day?In wedding-day mode, “Running late?” shifts the chosen moment and all the following ones by 5, 15 or 30 minutes. Guests and suppliers see the new time without you resending anything.
- How do I send an announcement to guests on the wedding day?In the wedding’s editor, the Announcements screen (Big day) lets you prepare short messages and send them at the chosen time or in one tap. They appear at the top of the guests’ page within a minute.
- How do I ask a couple for a review after the wedding?A week after the wedding, ⋯ then “Ask for a review” prepares a message with the link to your Google or Hitched profile. You send it yourself, then tick “Done”.
Your agency and your team
- How do I change my agency’s name, contact details and website? In Settings › Agency, edit the details: everything saves with every keystroke. Click “Apply to every page” so pages already live pick up the change.
- How do I add my logo and colours? In Settings › Agency, the “Your logo and colour” card (Agency plan) takes a PNG, JPEG or WebP logo and a colour. They sign your guest pages, run sheets, quotes and forms.
- Can I remove Weddtap and show only my brand (white label)? There’s no full white label. Your couples and their guests see “Organised by” your agency, with your logo and colours on the Agency plan, but the page stays on weddtap.com and Weddtap keeps a discreet mention.
- How do I invite a colleague or team member to my agency? In Settings › Agency, “The team” card, tap “Invite a colleague”: a link valid for 7 days, for one person only. They keep their own account. An Agency plan feature.
- What are the roles and permissions in the team, and how do I remove someone? There are two roles: owner (who created the agency) and member. Both see and edit every wedding. Only the owner can remove a member, with the bin icon on “The team” card.
Plan and billing
- What are the Solo and Agency plans, what do they cost, and how many weddings are included?Solo costs £17 excl. VAT a month and Agency £44 excl. VAT a month (two months free on the yearly plan). Both include unlimited weddings and guest pages.
- How do I choose and pay for my plan?Open Plan, choose Solo or Agency, monthly or yearly, then pay on Stripe’s secure page. Your plan switches on within seconds, and the invoice arrives by email.
- How do I switch from Solo to Agency (or back), or to the yearly plan?In Plan, the “Switch to Solo” or “Switch to Agency” button opens Stripe’s page, which changes plan pro rata. Yearly is chosen when you subscribe; once subscribed, changing the billing period can’t be done from the workspace.
- Where do I find my Weddtap Pro invoices and change my card?In Plan › Manage my subscription, the “Invoices, card, change plan” card opens Stripe’s page, which keeps your invoices and your card. An invoice also goes out by email after each payment.
- How do I stop my subscription, and can I get a refund? In Plan › “Cancel my subscription”, open Stripe’s page and choose “Cancel subscription”. Your plan stays active until the end of the period you’ve paid for. Within 30 days of the first payment, you’re refunded on simple request.
- What happens to my pages and data when I stop my subscription or when the trial ends?Nothing is erased. Your pages stay online but can no longer be edited, and go back to the free tier (no seating plan, announcements or access code) until you take a plan again: they then get everything back.
Account, data and security
- Who sees what: my team, the couple, suppliers, guests?Your team sees the whole workspace. The couple shares the page with you and reads your suppliers and their instalments, without seeing your notes, your method or your quotes. A supplier only sees their own sheet.
- How do I export my data, erase my weddings or delete my account? It all happens in My account: “Download my data” gives a complete file, “Erase all the agency’s weddings” empties the workspace, “Delete my account” closes everything. These last two can’t be undone.
- Is my couples’ and their guests’ data protected? Who is responsible? You are responsible for your couples’ and their guests’ data; Weddtap hosts and protects it on your behalf and does nothing else with it. It lives on our servers, not in your browser.
Something not working?
- I can’t see my wedding in my Pro workspaceCheck the filter (Upcoming, Past, Archived), type the couple’s name in the search, and make sure you’re signed in with the agency’s account. A wedding that’s been deleted or taken back by the couple is no longer in the list.
- My couple hasn’t received their invitationWeddtap only sends the email if you tap “Send the invitation”. Check the address and the spam folder, or send the link and the code yourself by WhatsApp, text or your email app.
- My couple’s PRO-… code is invalid or expiredA code only works for 30 days and only as it was given. Make a new code in “Invite the couple” and resend it: the couple can then type its six characters or open the link.
- My trial has ended: what can I still do?Nothing is erased and your pages stay online. To create a wedding, publish or edit again, choose a plan in Plan: everything you’ve prepared is waiting for you.
- My payment isn’t going through, or my plan won’t activateIf the card is declined on Stripe’s page, try another: nothing is activated. After a payment, activation sometimes takes a few minutes. If the last payment failed, update your card.
- My calendar isn’t syncing or is out of dateCalendars re-read the link every few hours: some delay is normal. If the calendar is empty or shows an error, the link may have been changed, or imported as a file instead of being added as an internet calendar.
- A supplier’s link shows “This link doesn’t work”The link was cut off when copied, has been renewed, or the wedding was more than fifteen days ago. Copy it again in full from the run sheet, or resend the new link if you renewed them.
- I’ve lost access to my agency: password, email, wrong accountUse “Forgot your password?” on the Pro sign-in with the agency’s address. If you receive nothing, try your other addresses or sign in with Google if that’s how you started. As a last resort, write to us.
- My client can’t open or sign their quoteThe quote must have been sent and its validity date must not have passed. To sign, the couple enters their full name and a valid email, and ticks the box. Fix the validity date and resend the quote if needed.
- How do I contact the Weddtap Pro team? From your workspace, open Help then “Write to the team”, or use the website’s Contact page. On the Agency plan, a reply within 4 working hours is promised, by email, Monday to Friday.
- Can Weddtap Pro take payments, issue invoices, message guests…? What it doesn’t doNot for now: no online payment from your clients, no invoices, no messages sent to guests, no file import, no white label. Here is what exists instead.
